We are seeking an enthusiastic and versatile HR & Office Coordinator to join our HR team at our Boston headquarters. This full-time, in-person, salaried position is based at the beautiful 53 State Street office building, located in the heart of the city.

Responsibilities: 

The HR & Office Coordinator will be required to consistently demonstrate the following:

Administrative & Office Support:

  • Maintain office organization, cleanliness, and supplies (including kitchen consumables).
  • Manage vendor relationships and coordinate office maintenance, repairs, and renovations.
  • Greet and assist guests, coordinate meetings, catering, and AV/tech setup.
  • Serve as liaison with property management and building security.
  • Manage access control for visitor passes, employee badges, gym, and parking access.
  • Handle mail and shipping logistics (FedEx, DHL, UPS), manage both domestic and international packages.
  • Provide executive support including calendar management, meeting scheduling, and lunch/dinner coordination.
  • Provide day-to-day support to the Executive Assistant, including preparing documents, managing meeting logistics, and handling follow-up tasks.
  • Assist with travel arrangements, expense reports, and special projects for C-suite executives as directed by the Executive Assistant.
  • Respond to emails promptly and professionally.

Marketing & IT Support:

  • Maintain marketing and IT inventory and order supplies as needed.
  • Assist marketing with events, campaigns, and ad hoc projects.
  • Create and mail events swag to different locations when needed.
  • Help IT set up new hire’s computer and mail it to new hires remote home.

HR Assistant Responsibilities:

  • Support onboarding/offboarding processes (e.g., scheduling orientations, preparing new hire kits).

Serve as the primary office point of contact for all new hires, ensuring they feel welcomed, informed, and fully equipped to integrate smoothly into the company.
  • Assist with employee communications.
  • Help plan and coordinate employee engagement events and initiatives.
  • Support HR with any compliance documentation, policy updates, and reporting.
  • Assist in helping with celebrations in-office and for remote employees (e.g., birthdays, anniversaries, travels, etc).
  • Assist with updating HR presentation decks and materials.
  • Assist with coordinating performance reviews and training sessions.
  • Act as a point of contact for HR-related inquiries and escalate when necessary.

Requirements:

  • College graduate with 1-2 years of administrative or office experience in a corporate environment.
  • Ability to travel and work at our Boston office 5 days a week.
  • Familiar with Microsoft Outlook, Excel, Word, and PowerPoint.
  • Someone who is interested in learning and growing their professional career in a fast-paced, dynamic environment.
